Hotel Operations Assistant – Luxury Mega Yacht

The Hotel Operations Assistant’s primary responsibility is to perform administrative duties for the General Manager, CEO, Florida Managing Directors (when onboard), the Board of Directors and Resident Committees. He/She must relay information from the General Manager to the Hotel Department Heads, support the Residents’ administrative requirements and interact with the Front Office Team and the Resident Services Coordinator to ensure all Resident and Guest needs are met. The Hotel Operations Assistant must maintain strict confidentiality at all times.
Key Responsibilities
• Assist General Manager with Hotel Operations SOPs, emails, and meeting coordination.
• Organize meetings for Board of Directors, Residents, and Senior Management, handling logistics and A/V requirements.
• Maintain and update internal telephone directories, OPS calendars, and Conference Room reservations.
• Coordinate onboard Medusa events and provide administrative support to F&B and Beverage Managers.
• Responsible for compiling, editing, and publishing the weekly "The World News" draft.
• Serve as the communication link between the Board of Directors, Ship Management, and Florida Office SLT.
• Maintain public space art inventory and oversee dry-dock and expedition projects.
• Exceed Resident service expectations, ensuring luxury standards (LQA) are met.
• Handle Resident communications, outgoing correspondence, and database maintenance.
• Organize and facilitate monthly Town Hall meetings and other important announcements.
• Assist in Resident onboarding, Navigator training, and onboard Medusa functions.
• Support operational goals, crew training, and ensure compliance with safety regulations and Company Policies.
Hiring Requirements
• Able to read, write and speak fluently in English
• Degree in Hospitality Management or related field preferred
• Excellent administrative and organizational skills required.
• Excellent Guest Service skills required.
• Experience working in a multi-cultural environment.
• Excellent computer skills to include Word, Excel and Outlook
• One additional language (German, French, Italian, Spanish) preferred
• Good computer skills to include Word, Excel and Outlook
• Working knowledge of point of sales systems, inventory management systems, assist and computerized reservation systems
