Job Description:

As a Virtual Office Assistant at EcoWay Voyagers, you'll play a crucial role in supporting the smooth functioning of our administrative operations. Your responsibilities will include:

  1. Data Entry and Management: Accurately entering and updating data in our systems, including client information, bookings, and financial records, to maintain organized and up-to-date databases.
  2. Document Preparation: Assisting with the preparation and formatting of documents, presentations, reports, and other materials, ensuring consistency and professionalism in all communications.
  3. Email and Correspondence: Managing email correspondence, responding to inquiries, forwarding messages to appropriate team members, and maintaining an organized inbox.
  4. Calendar Management: Coordinating schedules, scheduling meetings, and managing appointments for team members, using calendar software and ensuring that all conflicts are resolved promptly.
  5. Travel Coordination: Assisting with travel arrangements, including booking flights, accommodations, transportation, and activities for team members and clients, while adhering to budgetary constraints and sustainability criteria.
  6. Office Supplies and Equipment: Ordering and maintaining office supplies, equipment, and inventory, ensuring that all necessary items are available and in good working condition.
  7. General Administrative Support: Providing general administrative support to team members, including filing, copying, scanning, organizing documents, and handling ad-hoc tasks as needed.
