We are seeking an organized detailoriented and proactive Virtual Assistant to provide administrative support to our team. This role requires multitasking across various tasks from managing calendars and responding to emails to researching information and preparing documents. The ideal candidate is selfmotivated resourceful and able to handle a wide range of responsibilities with minimal oversight.
Responsibilities:
Administrative Support: Manage calendars schedule meetings set reminders and organize travel arrangements for executives and team members as needed.
Communication Management: Act as the point of contact for email correspondence fielding inquiries and responding on behalf of the company when appropriate.
Data Entry & Organization: Maintain and update digital records databases and project files. Ensure that documents and records are wellorganized and accessible.
Document Preparation: Prepare reports presentations and other documentation as requested. Draft emails letters and other communications with clarity and professionalism.
Research: Conduct research on various topics compile data and present findings to support decisionmaking.
Project Assistance: Assist with project management by tracking progress updating team members on deadlines and ensuring tasks are completed on time.
Customer Support: Respond to customer inquiries provide information and address any issues to maintain positive customer relationships (if relevant to the role).
Social Media Assistance: Manage and schedule social media posts respond to comments and engage with followers (if required by the company).
Invoice Management: Assist with generating sending and tracking invoices. Ensure timely payment followups if needed.
File & Document Management: Organize and maintain cloudbased files and folders ensuring everything is structured and easy to access.
Requirements:
Proven experience as a Virtual Assistant Executive Assistant or in a similar administrative role.
Strong organizational skills and the ability to manage multiple tasks with attention to detail.
Excellent written and verbal communication skills.
Proficiency in tools such as Microsoft Office (Word Excel PowerPoint) and/or Google Workspace (Docs Sheets Slides).
Familiarity with communication and project management tools (e.g. Slack Zoom Asana Trello) and virtual file storage systems (e.g. Google Drive Dropbox).
Ability to work independently manage time effectively and prioritize tasks.
Strong internet connection and a suitable workspace for remote work.
Preferred Skills:
Experience with bookkeeping software (e.g. QuickBooks FreshBooks) or CRM tools (e.g. Salesforce HubSpot).
Basic knowledge of social media platforms and management tools (e.g. Hootsuite Buffer).
Experience with simple graphic design tasks using tools like Canva.
Customer service experience.
